When Erin Moormeier packed up her car and moved from Washington state to Wisconsin two years ago, she was excited to start as an office manager at Milwaukee-based Bayshore Dental.
 
She and practice owner Dr. Mona Patel “just clicked” during her virtual interview, she says, and she appreciated Patel’s philosophy of embracing technology to ensure the highest quality of care for patients. In the two years since Moormeier joined Bayshore, she’s led the implementation of Real-time Eligibility, eClaims and eAttachments – all part of Eaglesoft Insurance Suite. “It’s just saving us so much time and is so much more efficient,” says Moormeier, who estimates total time savings of eight hours a week.
 
“I want the detailed information in our insurance notes. I want our clinical team to hit one button to look at frequencies for patients,” she says. With the click of the insurance eligibility button, front office employees gain access to a full breakdown of patient benefits for most insurance companies. This means they don’t have to spend time doing online research, making calls to insurance representatives or waiting for faxes.

The ability to electronically send claims and attachments to insurance companies also means less time spent printing claims and stuffing, addressing, stamping and mailing envelopes, Moormeier says. “I would much rather be clicking a mouse than stuffing an envelope.”
 
That it’s all integrated within Eaglesoft means the Bayshore team is able to save eligibility information right into patient records, avoiding printing, scanning and uploading documents, creating PDFs or manually keying in claims or attachment information. It also means claims are easier to manage and track.

Ramping up the revenue cycle

Another measurable win for Bayshore Dental is a reduction in the average number of days that claims are outstanding. “I first started looking at these numbers last spring – about the time we started using the attachments. We started at about 30 days on average, and now we’re under 10.”
 
The ability to electronically send complete, accurate claims and attachments and to minimize denied claims by verifying payer requirements up front supports a faster revenue cycle. “You know I process a claim, and I’m in a patient’s account, and I’m immediately sending statements right from the same screen,” says Moormeier. “It’s crazy how these little things can add up.”
 
Bayshore’s improved revenue flow offers Moormeier a sense of relief, she says. “As an office manager, I feel like a weight has been lifted off my shoulders. I don’t always have to stress about my outstanding claims. I’m able to focus on other areas of the practice – whether it’s engaging with patients or jumping in the back on the clinical side.”

Creating a better patient experience

Another improvement Moormeier introduced is ensuring that every Bayshore patient gets a treatment plan. As part of that, Insurance Suite helps the Bayshore team provide patients with better, faster insurance eligibility information and treatment plan estimates.
 
“I think patients appreciate having a better understanding of their insurance plan and how it’s going to contribute to their treatment,” Moormeier says.
 
Some patients are surprised by how much information they receive up front on frequency of visits and finances, she says. “We’re verifying all of this as a courtesy to patients. We want to give them the most information we can about their visit and the least amount of surprises in the end – for either of us.”

The thing that Moormeier enjoys most about her job is interacting with and helping patients, she says. “With our technology, we can do a lot of cosmetic work in this office. Patients come in and they are barely smiling. We talk them through every step of their treatment, and we help them get more confidence in themselves. By the time they’re leaving, they have these big bright smiles.”
